ok i thought i would put this into a thread so bits and pisces do not pop up in lots of different threads and get repeated

 

i have also looked though all the posts so far and have tried to answer some of your points to

 

as we have said in the past we are happy to have people let us know if something did not work or a place to air ideas

 

and please read what we think needs to be done and if we have fixed it in this post then you know it will we that way at the next event

 

so here go's

 

"last party was a bit of a flop"

 

This was the 1st time were we put on a full on party on the Sun night, it had more people to it than the other events we have put on, if kai had been able to stay on the Sun it would have had a little more entertainment, but i do think that as people have to work the next day lots of people do just go home, and little can be done to make this party the same as the other nights

 

 

"If flash is only going to be allowed for 1-2 minutes, then that is what should be said on the website"

 

we it did say this on the site, but as we put in very good lighting for the stage there was no need for flash photografy and as it is very hard on the guests and as we all want them to do more stage stuff this i think worked well, we do not stop people taking photos so just take the flash off (and we will amend the web site)

 

 

"Sometimes when there was no queue the crew would let you go up regardless for autos"

 

sometimes if a guests has an empty line we will top them up as it would be sill to just have a guests not getting though the autos but this only happens when a guests is a little faster than we had thought they would be, so please do not what around for a crew member to ask you this as you will be asked to come back latter.

 

"people who book tickets early are doing the organiser i huge service"

 

i think you are doing yourself a bigger service as soon as we know what we tickets going to sell we can use the income to book the guests and this helps make the event better for everyone.

 

 

" Having no schedule in the pack or so small and in a only a few locations"

" They were difficult to read"

ok "hand up" we did devolved a bit on this we will make it clearer for the next event and bigger, colour coded and in more places around the the event.

 

as to timings we cannot do this as guests all sign at different speeds and this cannot be locked down and we do not plan to give schedule out as if we have to amend something we could not call them all in, but if we do the changes we have suggested i do think this will all work well.

 

"installment payment"

 

this is something we are looking into but this will not be resolved soon so please do not hold of and what for tickets as this may not be decided till next year

 

"Cocktail party was horribly crowded and such a shame there's nowhere to sit down"

 

well i worked the party and all the main people worked it to make it work well we were there to see every one got to meet the guests we were all there and if any one had a issues at this party then i wish that thay would had come up and say at the time , as what i said at the opening seromy we cannot fix things after the event so do say if you have an issue, i must say i did not see any one that was unhappy at the time or after the party and i have lots of people say it was great ,so i think this went very well.

 

 

"I thought the way autographs were handled this time was a lot worse than Eclipse"

ok as there were only 6 guests at Eclipse 12 there was a lot more to get into the time but as to it being "handled a lot worse" i disagree it was very well handled and at Eclipse all the guest were there all the time were at this event we had to let John go at 12 which made it all a bit harder for us to get it all to work, but the schedule did work well and how Too Tall made it all work also was fine, i think 2 people did not get one of the autos they wanted and this is going to be fixed for them but everyone got everything they wanted so that shows you it dose work,

 

maybe some of you felt you "nearly missed out" i know it feels like this may be the case but we did not feel that any one would miss out if they came up when they were called as there was the time to get everyone through.

 

there is always time for a quick 'Hello" but not a chat and if every one had a quick chat then not every one is going to be seen and that would not be fair to the last of the people to see that guest and in another line that could have been you.

 

getting your autos is just that and on this point we want you all to get the autos you are supposed to get and this system works well.

 

"At other events, tickets 1-50 are called and get ALL their auto's at once. Then 51-100 are called"

 

well the way we do it means that you are all getting something and are doing something each day rather than just having to what for your number to come up and then you have to get all your autos at once and then have to what all the rest of the time for every one else to get there autos and after everyone has everything only then can the talks start, this way you all get time between meeting guests to get the stuff you want singe ready

 

will i hope this helps and i also hope you can all see that we do listen to you all and we love to learn and we try to never make the same mistake twice

 

we are still learning and do make the odd mistake but i do think this last event did show you the fans who good a con can be and how much fun they are

 

Next year we also plan to have an organizers panel at the end of the event so you can ask us questions at the event and we can learn what you liked and dislikes over the weekend

 

thank you all for making it fun to and thank you to all the people that over the weekend thanked us it was our pleasure to run this for you, you were all so nice and cool and thats why i did not get to bed till 5 am every night anyway that was the Hub and you were all apart of it and thats what makes it so much fun

I'm gonna dispute this! The last night's party was not a flop for all of us! Once we started asking the DJ to play lots of cheesy stuff there was a good crowd of people on the dancefloor having a fantastic time! :unsure:

 

I did thank him afterwards, but I'd like to thank the DJ again for indulging a pissed up girl at that time of night on a Sunday. Thanks also to all the people I cajoled up onto the dancefloor. You were all awesome. :(

Couple of comments. A few more than 2 people didn't get autos for some. I didn't get Lachlan's but on the other hand I freely admit that was my choice as the only time I could have got it cos of photoshoots and stuff was by leaving either John or Gareth's talks and that was never going to happen. My choice, Lachlan was there so I can't complain really.

 

Re the cocktail party..the guests moved round well and it was well hosted but it was bordering on claustrophobic in there. Space issue not a how the party was handled issue I think.

 

ANyhow, whatever the glitches it was an excellent con. Nothing's perfect.

 

Sunday night is dead dog party night really cos everyone goes home as you say.

Oh aye, thanks to the group of nutters who stayed til the end the party on Sunday was a lot of fun, even if it was empty! Most people left once Gareth was gone but the people that stayed made it a great night, even if the DJ had a few technical problems.

 

 

I'm glad that the issue with the time tables is being looked it. It was very confusing for a lot of people but that is really the only problem I had all weekend!

I'll add my comments here as well....

 

YES There should have been bigger and better schedules, this WILL be fixed for next time.

 

We do the autograph sessions the way we do so that people have as least something to do every 30-45 minutes or so. It works for most people. I'm sorry if it does work for you. The sheets on the walls to explain when you were to be called made sense when used in conjunction with the schedules (which we know there was issues with, see above). I am looking at making the sheet more understandable next time.

 

The way I did it (yes I put the sheets together with when each group would be called, so you can complain at me) everyone should have gotten at least half their autos on Saturday. Due to 2 or 3 of the guests not signing as quickly as we'd expected on Saturday some groups got seen on Sunday. So yes for some people they only got 3 or 4 autos on Saturday rather than 5 or 6. But everyone should have been seen by the end of Sunday.

 

John Barrowman - There are 2 factors involved here that you as attendees will either not know or may not have seen what we were trying to do.

 

Factor 1: We had been told John was leaving at 12 noon as per the schedule. We were getting people through at a rate that meant we would see everyone by 12. At about 11:30am we were told that John would in fact be leaving at 11:45am. So rather than having 30 minutes for the last 60 people we now had only 15. That is why we had to speed up so much at the end. I am sorry to those that got caught up in that situation. It wasn't great but we did the best we could and only wanted to get as many people through as possible. John himself closed the queue by standing up and he himself said if you were now not in the queue he would send the auto to you later. This is what the crew at the end of the queue were going on. In the end as it was only 8 people we got you through. Again we did our best at the time.

 

Factor 2: I was asked to sort out the John groups so that the higher groups 14+ saw him in the Saturday afternoon session. It was to try and be nice to the lower (earlier ticket numbers) so they would not have to come out of the talks to get his autograph. Based on the speed we knew we could go, we would see EVERYONE by 12 on Sunday. So it wasn't going to make any difference to when each group saw him. As it turned out because of us losing that 15 minutes you were rushed through. And yes with hine sight it would have been better to get groups 11-13 through on Saturday afternoon. But we did it to try and be nice to you. I'm sorry it didn't work out that way. I hope that makes sense?

 

Photo sessions. I organized these so that the gold and silver ticket holders got as many of these as possible on Saturday. This did mean that standard ticket holders did not get seen until Sunday. Again hopefully everyone should still have gotten everything they paid for and that is the main thing.

 

Everything I did with the scheduling of the groups was for a reason and to make it as fair to as many people as possible. If in the end it didn't end up being fair to you I am honestly very sorry.

PS: I understand the way we call people in for autograph does mean it doesn't give an advantage to people booking earlier. We try and be far to as many peolle as we can, but as I say above we do think about these things and if we have to have a clash we try and avoid the lower ticket numbers being effected. One main advantage of getting a ticket early is because we load the hall by ticket number you get to sit further forward in the talks.

Before I make my comment, just to say I really had a fabulous time and have already booked my ticket for the next one - but (there's always one lol) my one issue was with the cocktail party.

 

It was very crowded and very hot, some people did seem to be following the guests around like lost puppies, I think John did make a comment at one point to someone along the lines of "haven't I see you before" (and not in an amusing way!) We didn't get to meet Gareth, and yes by the time we realised, he had left so we didn't think that there was much point in saying anything. The only two guests we met were Kai and John, it seemed to be that they were being moved around the outside and since we were in the middle of the room we were treated somewhat like a traffic island.

The last night party was good. Especially Gareth singing and joining people on the dance floor even if it wasn't for long. Some of the songs could have been better at the beginning admittedly.

 

May be a band next time would be a good idea... but it was still a great highlight of the weekend

I just have one suggestion, nothing major, regarding the intimate encounters. I think a fairer system could be used for the winners, rather than who has the biggest bank balance! I really do appreciate you are running a business but there were some people who were HUGE fans and couldn't get that 45 mins with the guests simply because their financial situation could not allow it. Let's face it, not everyone has a great amount of disposable income, esp. in the current climate! Maybe for a couple of the stars you could have a competition based on knowledge of Torchwood and 12 of those who get full marks get the encounter, and only pay a small (say £20 ish) fee for the pleasure? This gives everyone a fighting chance! Plus, having the quiz would be something extra to do over the weekend! It could be done at the end of one of the talks and all answer sheets handed in on the way out, so no one is getting any sneaky answers from the internet! I was one of the lucky ones at Kai's 'encounter' but really did feel for those who couldn't afford to bid.

Or a raffle to be drawn after the auction. If you charged £2 a ticket you would easily make over £600 (although I suppose that the super rich could probably afford to buy loads of tickets but you could put a maximum amount which people could buy.)

I actually have no problems with the way the autograph sessions or the photo-shoots were handled. All in all, I thought they went significantly better than they have at other (non-SM) events I've attended, and I'd like to see you keep the same system. The one major issue I had was with the photographer who denied a woman who couldn't see the opportunity for a photo with John Barrowman because she didn't turn her eyes to the camera enough for his liking, and didn't want to have to say that she was blind in front of everyone present. He said, "You either turn your eyes to the camera, or you don't get a photo." That was wrong, and needs to be corrected.

 

I do think that the cocktail party (though a brilliant experience) was a bit overcrowded for the space it was in, and that the time allotted was insufficient to allow the guests to get to all the groups. Perhaps another ten minutes added to that event would solve that latter problem, while still keeping the relaxed pace and relative face-time with the guests that I thought worked so beautifully. Perhaps also the minders could keep a watchful eye for those following a particular guest around the room.

 

I'm glad to see that the physical attributes of the schedule will be addressed. It was a terribly confusing system that, while fair and practical, tended to panic people due to the lack of comprehension. (*points mockingly at self*) While I can understand your not wanting to put schedules in the registration packets, I do think that you could provide a key to understanding the system in there that would go a long way toward easing people's minds. Might you consider that?

 

One last thing. At the first Intimate Encounter that Gareth did, he'd been under the impression that the money for it was going to charity. He was not best pleased when he found out that it wasn't. I'm not sure if that was his mistake or SM's, but I think it would be wise to inform the guests of this sort of thing. Also, it might be nice to have some sort of charity auction at one of these things, although I can certainly understand the need for SM to hold auctions to defray costs. Especially in this economic time, it's scary to split up dwindling resources. However, auctioning something cool for charity might also help whip up enthusiasm for SM as an organisation, and that never hurts. :)

Being considerate meant me and my friends only got to speak to Kai (he was my favourite though, luckily)!

 

(I'm not saying everyone did this, of course. 80% of the Gold members were wonderful and courteous! :blink:)

I stayed in the same place for the party but went and politely asked the crew to bring the guests over to us, which they did :D

 

I did notice thought that when John came our way that the area suddenly got very crowded which did annoy me slightly as well and then the same people followed him. Its not cool to hog the guests lol :chair:

However, they are the best quality badges of any con I've been do and I've been to more cons than I've lived years... Haha! I had a fantastic time. Hub 2 is booked!

 

I had some ideas for the next con- like events and stuff to do... Can we start a thread for that?

Ha! I have a silly little complaint. It's very minor. My friend cut up her arm on the badges because the cornors we're really sharp. If you could round them or something that'd be great. However, they are the best quality badges of any con I've been do and I've been to more cons than I've lived years... Haha! I had a fantastic time. Hub 2 is booked!

 

I had some ideas for the next con- like events and stuff to do... Can we start a thread for that?

 

 

My 2 year old kept stabbing me with mine, lol!

If you're going to run these coffee clubs there is no real easy way to do it. People don't much like the raffle system as your odds of winning are not great so auctioning them off and having people decide for themselves how much they are willing to spend is probably the best way to do it. The first Gareth coffe club went for silly prices but the Sunday clubs seemed to be going for a relatively decent amount. I do think that the auction system is the only way to do it.

Not a silly complaint at all! The same thing happened to me.

I'm afraid this was absolutely inevitable and there are some people who are well known for hanging at John's elbow like a leech at every event. Only way to get round that completely is to have tables and have all the attendees sat at their tables with the guests bought to them. We were stood near the entrance and got to speak to John, Gareth (I think we were the first group he saw) and Kai and then decided that rather than try to find Naoko who was hidden in the melee that we would have a chat with Carole who was lovely and fascinating - but yes too small a space for the party and too many people trailing the guests around like lost puppy dogs.

Like most if not all!) attendees, my partner and I had a blast. We signed on for Hub2 Sunday morning and are really looking forward to it! :thumbup:

 

I do have a couple nagpoints -- Blackbird's already touched on one: money for Intimate Encounters. We, too, thought it would have been better if the money for those (and, indeed, for things at auction) had gone to charity. That said, with things like the IEs going to the highest bidders, only the people with plenty of disposable cash can participate. It would have been nice to have something special done as, say, a raffle to which anyone could apply for a small entry fee and the winners would be picked from a hat, so to speak, giving everyone a fairer chance. There were loads of us who could not/did not bid on the IEs or anything else, because we couldn't afford it, or couldn't possibly compete with the people with lots of money to spend.

 

The other thing is a personal one, and will prolly sound old-fogeyish to most everyone else: ummmm, the sound levels at the dances. I don't know whether it was the speakers or just that the djs had the volume up to maximum, but it was so loud, we had to leave as it literally hurt my ears to stay in the room. It wasn't the choice of music, we all have different and varied tastes. It was just sooooo ear-piercingly loud. Is there anything that can be done to soften that? (And this is coming from someone who's spent years listening to rock n'roll at major levels, LOL.)

oK I put my hand up I was the one that siad the party was a bit of a flop but I also said Gareth singing was fantastic and I get people would save money by leaving Sunday in stead of Monday.

 

compared to the other 2 partys it wasn't as good thats all Im saying but I understand why. After Gareth sang it looked like half room left as well.

 

Was a fantastic weekend and Im already booked up for March squee

Before i comment i want to say that the whole weekend was amazing and i had the time of my life :chair:

 

1 tiny point though about the 'intimate encounters'

 

Perhaps next time, to make the system more fair ( rather than limited to those with lots of money) the number of each attendee's pass (e.g. st127) could be put into a giant tombola style draw, then the guest who is doing the encounter could pick how ever many "names out of the hat" and those would be the people who went into "intimate encounter" so that everyone is only entered once and everyone has the same chance of winning an encounter.

But then you might have people winning who weren't interested in getting the intimate encounter. Auctioning any item is never fair on those with limited incomes, and we've all been there but I understand that the money raised from them goes to paying for guests and activities at future events which sounds like a great idea to me.

 

Maybe to keep people happy you could have a combination of the two ideas. Have 10 places at the encounter auctioned off and raffle off 2 places for those who don't want to bid - £1 per entry. Althought the raffle requires more in the way of admin than an auction, time which may be better used elsewhere.

I moved around a bit at the cocktail party but it wasn't to try and follow the guests about - it was to try and get some breathing space. I'm not saying that there wasn't anyone who wasn't deliberately trying to shadow the guests but I wouldn't assume that everyone who moved around was doing it for that purpose. It got very hot and stuffy in there and it was hard to get to a place where you weren't too crowded. Although I enjoyed the reception I agree that the room was simply too small for that many people and I'm not surprised to hear some attendees felt claustrophobic in there. It wasn't the best place to be if you aren't comfortable in a crowd.

Yes I had mine and am very pleased with them especially when John asked his sister to sign my book as well.

 

The Mis communication: I can't moan much because I had his auto but I did purchase extra autos for him at 11.15 on the Sunday and by the time I got back to the hall, the q had been shut. One crew member asked me to wait there and she would get them sent off and signed, 2 mins later the same crew said because I had already had one off him I was to go back for a refund.

 

So back I went for a refund - I was told at first that I couldn't have the refund and could give them in to be signed and when I explained what had happened they gave me a refund.

 

I know John had to go and I appreciate that but why wasn't the reception told to stop selling these spare tickets? They were still selling them at 11.30!

 

 

As I said apart from this I had an excellent weekend and will def. come to the next one. I ahd a great time

Great event, I'm hoping I can make it to Hub2.

 

I liked the care that went into Jack's Office and the '40s party decor. It was also nice to have all those free photos, to get our autographs on, and a nice choice of extras in the dealers room.

 

Good choice of guests: I know that how well the guests perform onstage is a bit beyond the organisers' control, but they seemed relaxed and well-looked after, which always helps.

 

I'll second the requests for a shedule in the welcome pack. As to the tick-box sheets on the wall, they would have been fine if they were about four times the size: they were perfectly comprehensible, just always surrounded by bodies.

 

I liked that the questions were for the most part asked by a staffmember. It's so much smoother that way.

 

It was very good value for money. But count me in with the people who'd have really liked to have an 'intimate encounter' but couldn't afford it. If a raffle were practical, I'd like that. So many of us would pay a few quid for a ticket, that you'd probably make more that way. This isn't a complaint or even a niggle, it's just what would be ideal for me.

 

Anyway, thanks, I had a really lovely time and the stewards were nice whenever I had a query.
